    The Office Coordinator provides administrative support to several senior agency leaders and serves as the receptionist for our 12th floor space.  This individual is part of the office services team and helps to implement broader processes and procedures that streamline agency operations, reduce costs and enable our client teams to focus on delivering quality work to our clients. 

    What You'll Do

    • Manage calendars and schedule meetings for assigned executives
    • Plan, book and manage travel arrangements for assigned executives
    • Compile and submit expense reports for assigned executives
    • Produce meeting agendas, presentations and other materials for assigned executives
    • Create, update and communicate agency resources such as phone lists, client lists, client contact information and other tools
    • Create and maintain agency organizational charts, staff lists and email distribution lists
    • Set up agency meetings and large client meetings, including booking rooms, ordering catering, coordinating technology needs and organizing logistical details
    • Help plan and set up agency events, such as annual holiday party, summer party and culture team events
    • Perform other administrative duties including faxing, copying, scanning, ordering supplies, arranging messenger services, preparing overnight deliveries, help with outgoing and incoming mail, etc.

    Our Ideal Candidate

    • Associates degree or equivalent work experience
    • 2+ years of administrative support experience within a corporate or agency environment
    • Ability to maintain sensitive and confidential information
    • Solid English language skills, both in written and verbal communication
    • Strong interpersonal skills including relationship development with clients and staff at all levels, trust building and the ability to maintain tact and professionalism
    • Excellent organizational skills and attention to detail
    • Computer proficiency in Microsoft Office Suite
