The HR Assistant performs a variety of technical and administrative duties at the direction of the broader Human Resources team. They will ensure the success of the team by supporting activities in the following areas: training, onboarding, policy implementation, employment, affirmative action and employment law. We are looking for the HR Assistant to start in April 2018.

What You'll Do

  • Support and communicate HR policies, procedures and benefits to staff
    • Review and share communications with the larger HR team
    • Ensure the distribution reaches the appropriate audience
  • Partner with HR team to manage HR inbox, answer employee questions, and engage appropriate support when appropriate
    • Create and manage a repository of standard answers to be used by the larger team when answering employee questions; update on a regular basis based on changes in policies and benefits
  • Generate and compile regional reports on an ad hoc basis at the direction of the HR & leadership teams
  • Conduct on-boarding duties including:
    • Communicating first day information to new employees
    • Moving new hires through the onboarding portal, ensuring that all required tasks are completed by the specified deadlines
    • Welcoming new hires on their first day
    • Obtaining required supplemental documents including signed offer letters and I-9 identification
  • Ensure all employee documents are filed in accordance with federal and local legislation; audit current files on a regular basis and propose updated filing procedures
  • Assist the team with other HR duties and functions such as:
    • Submitting payroll actions for new hires, terminations, and salary changes
    • Creating and printing materials for presentations
    • Tracking and retaining performance appraisals in employee files
  • Help organize training projects, presentations and workshops including reserving rooms when needed, printing materials, and requesting additional materials to ensure successful training
  • Partner with the HR Generalist to complete employment verifications when requested
  • Enter time reports once a week, at a minimum, and expense reports within 10 days of incurred expense
  • Handle other duties as assigned by supervisor

Our Ideal Candidate

  • Bachelor’s degree in Human Resources or related field of study
  • Internship experience in Human Resources required
  • Excellent interpersonal skills demonstrated by:
    • Developing positive employee relations by responding to all employee questions and concerns in a timely and thorough manner
  • Ability to communicate clearly, thoroughly and succinctly both verbally and in written form
  • Ability to maintain confidentiality and discretion at all times
  • Basic understanding of HR standards, employment laws and policies
  • Ability to analyze results, interpret data, and identify trends in HR data
  • Knowledge of process design and implementation
  • Proactive approach, demonstrated through actions such as:
    • Identifying opportunities and solutions to be helpful without being prompted
    • Looking for and taking on additional work during lull periods
