Summary

Provides day-to-day executional support to the internal account and client teams with a particular emphasize on promotional activity management and providing finance/budget support. Must demonstrate the ability to manage multiple priorities, be proactive, possess outstanding written and oral communication skills and great attention to detail.

What You'll Do

  • Partner with project management to:
    • Develop project schedules
    • Ensure project workload is fully estimated, signed and billable
    • Route and obtain approvals on copy, layout/artwork, media plans and production materials
    • Create and maintain electronic files of key project documents and assets on server
    • Track financial forecasting, report and flag any potential income variance to senior management
  • Communicate job status and scheduling changes to project team (e.g. account, creative, production, finance, etc.) through conference reports, status reports, and creative revision requests
  • Assist with competitive analysis including:
    • Check in-store displays and report findings to team
    • Research and report on competitors’ marketing strategies and tactics
  • Act as the initial point of contact for vendors, collecting vendor capabilities information and coordinating vendor presentations to the agency; create and maintain vendor database for Account team
  • Assist in tracking and updating budgets and coordinating financial reporting
  • Support account team and relevant departments for all client needs, including but not limited to, scheduling client calls, coordinating logistics for client meetings, taking notes in client meetings and compiling presentations
  • Ensure agency and financial processes are followed by internal teams and vendors
  • Enter time reports once a week, at a minimum, and expense reports within 10 days of incurred expense
  • Handle other duties as assigned by supervisor

Our Ideal Candidate

  • Bachelor’s Degree in advertising, marketing or the equivalent combination of education and experience
  • Experience (internship) working in an agency setting or marketing field
  • Understanding of the agency process and department roles and processes
  • Foundational knowledge of the client’s business, objectives, products and category
  • Ability to communicate clearly, thoroughly and succinctly both verbally and in written form
  • Strong attention to detail and organization, demonstrated through actions such as:
    • Effectively proofing own and others work to ensure accuracy
    • Actively and effectively managing timelines, budgets and deliverables of multiple projects simultaneously, some with short turnaround times
    • Developing and archiving all key project documents in an easy to identify format for historical reference
  • Proactive approach, demonstrated through actions such as:
    • Providing regular and thorough project updates to manager and team
    • Anticipating potential problems and obstacles to project success, communicating concerns and developing solutions
    • Identifying ways to improve agency and team processes
